The Facility Maintenance Coordinator job at MEI System Inc., is divided into 2 phases.

In conjunction with work in the current building, the first phase concerns the period in which the new plant will be under construction. In terms of timing, the forecast is to have the external structure ready by June 2025, and then work on the interiors in the following months until the first quarter of 2026.

The second phase is related to the day by day of the fully operational new building.

Position

The Facility Maintenance Coordinator at MEI System Inc., oversees the business' maintenance tasks, including the upkeep of offices, buildings, grounds, and company vehicles. Their duties include scheduling maintenance tasks, supervising Maintenance Workers and responding to maintenance emergencies.

Oversees staff and vendors installing, inspecting, repairing, and maintaining building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management.


Facility Maintenance Coordinator Responsibilities


The Facility Maintenance Coordinator at MEI System Inc., track work orders and ensures work follows established service and quality standards for completion. Schedules and supervises preventative maintenance, painting, or carpentry projects. Additionally, maintains a safe and effective working environment that complies with regulations and laws.

1) Support in monitoring the work in progress of the new building.

  • Participation and support to the person involved (architects, colleagues from HQ) during inspection visits to the construction site.
  • Visit the construction site, prepare, and share a weekly report of the progress.
  • Training in Italy aimed to understand MEI Standards (multiple trips with a max period of 2 weeks each trip.
  • Create procedure manuals for all new building procedures and systems.

2) Minor internal repairs/intervention and support for internal layout development and miscellaneous

  • Implement a workflow process for internal service requests.
  • Small maintenance (bulbs, door, minor plumbing, rearrangement of shelves.)
  • Document lost and found items.
  • Keep the maintenance of forklifts up to date.
  • Company car service.

3) Coordination and monitoring of external supplier for maintenances

  • Keep relation with HVAC, Electricians, Cleaning, Landscaping
  • Write and share an activity report (photo before/after, description, plan follow up (if needed)
  • Notify cleaning crew of any issues.
  • Monitor planned preventive maintenance.
  • Work with vendors on building electrical issues.
  • Request and evaluate quote, hire contractors for equipment installation and repairs.

4) Maintenance of shared spaces and supervision of compliance with MEI standards

  • Oversee waste management, garbage collection and logistic with waste supplier.
  • Carry out inspections of the facility.
  • Maintain common area and make sure it is clean and organized.
  • Management and monitoring of the systems of the new facility (HVAC temperature regulation, building automations, electrical systems, etc.
  • Coordinate special projects and events as requested.

5) Safety

  • Implement safety improvements according to safety plan.
  • Monthly inspection of Emergency lights and exit signs.
  • Fire Extinguishers periodical inspection.
  • Record and report emergencies and near miss.
  • Participate in emergency planning.
  • Patrols the building and ensures security of doors and windows; sets alarm; turns off lights.

Requirements

Requirements and skills


  • 5 + years’ experience in facilities maintenance in an industrial manufacturing environment or similar position.
  • Associate degree or equivalent experience
  • Availability to work OT and occasional weekends for emergencies.
  • Responsible for being on-call/taking emergency calls as needed seven days a week (on-call schedule will vary)
  • Mechanical, Electrical, and Plumbing Knowledge – ability to assess and resolve minor building mechanical, electrical, and plumbing problems.
  • Hands-on attitude, flexibility, can-do attitude, resourceful, independent
  • Project management oriented and ability to see the big picture.
  • Strong analytical, organizational, communication (both written and verbal), interpersonal, and problem-solving skills.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
  • Knowledge of Italian (or willingness to learn it participating to class) is a plus.
